How to use this time card calculator

  1. Pick 1 week or 2 weeks for a biweekly pay period.
  2. For each day, type the time you clocked in and out. You can type 8, 8:30, 830, 5p or military time like 1700.
  3. Enter your unpaid lunch or break in minutes. If you clock out for lunch, turn on Two shifts per day and enter both in/out pairs instead.
  4. Choose an overtime rule. Most US employees use the federal rule: hours over 40 in a week are paid at 1.5×. California adds daily overtime after 8 hours and double time after 12.
  5. Optionally add an hourly rate to see regular pay, overtime pay and gross pay.
  6. Print a signed timesheet, download a CSV for payroll, or copy the link to save your week.

Minutes to decimal hours chart

Payroll systems use decimal hours. 15 minutes is 0.25 hours, 30 minutes is 0.50, 45 minutes is 0.75. Divide minutes by 60 for anything in between, or use this chart.

Frequently asked questions

How do I calculate hours worked with a lunch break?

Subtract the unpaid break from the shift length. 8:00 AM to 5:00 PM is 9 hours; with a 30-minute lunch it is 8.5 hours (8:30). Type your in and out times and put 30 in the Break column and the calculator does it for you. Paid breaks are not deducted, so leave them out.

How does a biweekly time card work?

Choose 2 weeks. Overtime is still calculated per week, because the federal Fair Labor Standards Act counts hours over 40 in each workweek, not over 80 in the pay period. The totals section shows each week and the grand total.

Can I enter military time?

Yes. Type 0730 or 17:45 and it is read as 24-hour time. You can mix formats; 8 is read as 8:00 AM for a clock-in, and an out time with no AM/PM that would land before the in time is read as PM.

How is California overtime calculated?

California pays 1.5× for hours over 8 in a day and over 40 in a week, 2× for hours over 12 in a day, and on the seventh consecutive day of a workweek 1.5× for the first 8 hours and 2× beyond that. Select the California rule to apply all of these. This is a calculation aid, not legal advice; exemptions and alternative workweek schedules exist.

Is rounding time to 15 minutes legal?

Under federal rules, rounding to the nearest 5, 6 or 15 minutes is allowed if it is neutral over time, meaning it rounds up as often as down. Some states, including California, have narrowed this in recent court decisions. If you are not sure, keep Exact minute.

What does this calculator not do?

It does not withhold taxes or calculate net pay, and it does not store your data on a server. Everything stays in your browser and in the link you copy. For payroll taxes use a paycheck calculator from your payroll provider.
