Totaling a pay period when the schedule is uneven
Salaried staff rarely need to add anything up. Everyone else does. A part-timer picks up a Saturday, a barista gets cut early on a slow Tuesday, a contractor works four hours on one project and three on another. None of that fits a tidy weekly number, and the totals still have to be right.
Enter each day as it happens rather than reconstructing the period from memory two weeks later. Every row stands on its own, so a blank Wednesday costs nothing and a 90-minute block records as easily as a full shift.

Week 1 adds to 5 + 5 + 5 + 4.5 + 5.5 = 25.00 hours and week 2 to 5 + 5 + 5.5 + 4 + 6.25 = 25.75 hours, for a period total of 50.75. At $22.50 an hour that is 50.75 x 22.50 = $1,141.88. Neither week passes 40, so none of it is overtime, which matters because part-time hours spread over two weeks look like a long stretch without ever triggering a premium.
The two Saturdays show why breaks belong in the grid. Week 2's Saturday spans seven clock hours but pays 6.25, because 45 unpaid minutes is 0.75 of an hour. Dropping both breaks would inflate the period by 1.25 hours.
Hours to pay, and hours to a full-time equivalent
Once the period total is correct, three conversions cover most of what people want from it.
- Gross pay. Hours times rate, before withholding. The 50.75 hours above at $22.50 came to $1,141.88, and the Gross pay tile does it as you type.
- Annual full-time hours. A full-time year is 2,080 hours, from 40 across 52 weeks. Divide by 12 and the average month is 173.33 hours, the figure payroll systems use to convert between salary and an hourly equivalent.
- Your share of full time. The example averages 25.375 hours a week, which is 0.63 of a full-time schedule. Annualized, 25.375 x 52 = 1,319.5 hours, about 63 percent of 2,080. Benefit eligibility is often written against a threshold like that.
Contractors, invoices and more than one employer
If you bill a client on a 1099, the timesheet is the evidence behind the invoice line. A client who questions an invoice is usually questioning one specific day, and a dated row answers that faster than a monthly lump sum.
Contractors normally set Overtime rule to None, since overtime premiums attach to employment rather than to a service contract. Two jobs change the arithmetic in a way people miss. Under federal rules the 40-hour threshold applies per employer, so 25 hours at one job and 25 at another is 50 hours of your life but usually no overtime for either payroll. Take the period total in decimal form, multiply by your rate, and put the dated rows behind it as backup. Exporting the CSV gives you one line per day with the in, out, break and decimal total already laid out.
What fraction of full time does my schedule represent?
Divide your average weekly hours by 40. The two-week example averages 25.375 hours, so 25.375 / 40 = 0.63 FTE. Multiply average weekly hours by 52 to see the annual figure against 2,080.
Do paid holidays and vacation belong in the grid?
Leave them out of the worked rows, because they are not time on the clock and in most cases they do not count toward an overtime threshold. Track them separately and add them to gross pay afterward, following whatever your employer's policy says.
